RE: Approval of a request to enter a PO for an IT Equipment Computer refresh order need to Dell, Inc. in the amount of $114,255.00
recommendation
BOARD ACTION REQUESTED:
Approve the purchase of computer equipment from Dell, Inc. for a refresh order of 20 desktops, 85 laptops, 94 docks in the amount of $114,255.00.
BACKGROUND:
Genesee County has a life-cycle refresh practice of replacing all our desktop and laptop computers every 6 years based on age. We are catching up to meet this standard as it has not been followed in past years.
DISCUSSION:
This is part of our life-cycle process and is crucial due to the announced end-of-life of Windows 10 and necessary upgrade to Windows 11. Windows 11 has higher requirements for workstations and most of our existing systems will need these newer systems for accommodation.
IMPACT ON HUMAN RESOURCES:
None
IMPACT ON BUDGET:
This purchase is budgeted utilizing the designated Equipment Computer account 1010-228.01-978.006. Dell is a member of the MHEC-04152022 Master Agreement between Midwestern Higher Education Commission and Dell Marketing; Effective 4/15/22-6/30/25 contract code: C000000979569.
IMPACT ON FACILITIES:
None
IMPACT ON TECHNOLOGY:
Windows 10 is reaching end of life next year and we must replace the majority of our computers to meet minimum requirements for Windows 11. Our normal life-cycle policy will allow us to meet those replacement requirements.
CONFORMITY TO COUNTY PRIORITIES:
This purchase contributes to our Long-Term Financial Stability by ensuring all staff have access to properly functioning technology. It contributes to policies being consistently followed and addresses legacy costs (technology refresh/lifecycle) with a plan that values people while creating savings.
