BOARD ACTION REQUESTED:
Approval of a 5-year agreement with annual renewals between Genesee County and i3 Verticals, LLC (i3-ImageSoft)
BACKGROUND:
OnBase by Hyland is a platform our office relies on to manage documents, streamline workflows, and meet compliance requirements. Hyland’s official training program provides employees with hands-on skills and best practices to use OnBase more effectively. By participating, employees gain expertise that strengthens daily operations and reduces reliance on outside support. OnBase is utilized across several County departments, reinforcing its value and effectiveness.
DISCUSSION:
The 5-year OnBase training agreement will align with our 5-year agreement for OnBase (RFP #26-500). The agreement will be renewed annually and will provide County staff with access to Hyland training resources that support the effective use of the OnBase system. Several County departments currently use OnBase through i3 Verticals, LLC for document management and workflow processes. Ongoing training will help staff strengthen their knowledge of the system, improve consistency across departments, and better utilize available OnBase features as operational needs change.
IMPACT ON HUMAN RESOURCES:
There is no impact on Human Resources.
IMPACT ON BUDGET:
This is a planned and budgeted expense. Moving to a 5-year agreement with annual renewals will save approximately $9,000 overall. First year and following years are not to exceed $7,200.00. First year starts November 1, 2026 - October 31, 2027; additional annual renewal costs are attached for remaining years. Costs to be paid from FY27 1010-228.01-910.005 - $6,588.49 and pre-paid account 1010-000.00-123.000 - $611.51. Subject to approval of the FY27 budget and the available funds for following year renewals.

TO THE HONORABLE CHAIRPERSON AND MEMBERS OF THE GENESEE COUNTY BOARD OF COMMISSIONERS, GENESEE COUNTY, MICHIGAN
LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Chief Information Officer to authorize entering into a 5-year agreement with annual renewals between Genesee County and i3 Verticals, LLC (i3-ImageSoft), to provide OnBase training at a cost for the first year not to exceed $7,200.00 to be paid from and subject to approval of the FY27 budget account 1010-228.01-910.005 ($6,588.49) and pre-paid account 1010-000.00-123.000 ($611.51), with additional renewals being subject to approved budgets and funds available with the overall 5-year agreement total cost not to exceed $36,000.00, is approved (a copy of the memorandum request and supporting documentation being on file with the official records of the August 12, 2026 meeting of the Public Works Committee of this Board), and the Chairperson of this Board is authorized to execute any contract documents, after review and approval by Corporation Counsel, on behalf of the Genesee County.
