BOARD ACTION REQUESTED:
Approval of issuance of purchase orders to MailRoom for the fiscal year ending 2025, in an amount not exceeding $240,110.00 plus 5%, to provide postage and mailing services said fiscal year.
BACKGROUND:
The Office of Fiscal Services is requesting to issue purchase orders to the MailRoom in order to provide mail services for the fiscal year ending September 2025. This is continuation of services based the request that was issued previously and approved by the Board. The amounts requested is based on the department’s budget that were approved by the Board during the month of August. An additional 5% was requested in order to accommodate any additional requests and/or postage rate increases during the fiscal year.

CONFORMITY TO COUNTY PRIORITIES:
A mechanism in which the County infoms Constituents of various request is by mail. The County utilizes a vendor to assure that all mail that is sent follows Post Office requirements in order to receive bulk rates. The has vetted this process and has selected the MailRoom to perform said services.

LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Purchasing Administrator to authorize a purchase order to the MailRoom Service Center for mail services for FY24-25, in an amount not to exceed $252,114.50, is approved (a copy of the memorandum requested and supporting documentation being on file with the official records of the October 2, 2024 meeting of the Finance Committee of this Board).
