BOARD ACTION REQUESTED:
To approve the annual payment to Karpel Solutions for the cost of the Prosecutor’s office records/document management system, otherwise known as Prosecutor by Karpel, in the amount of $51,050.00.
BACKGROUND:
The Prosecutor’s office purchased the product of Prosecutor by Karpel from Karpel Solutions through the Genesee County’s RFP process in 2022. The resolution approving the purchase is 2022-110.
DISCUSSION:
While reviewing and before purchasing Prosecutor by Karpel the Prosecutor’s office was made aware of certain annual fees that would be charged to maintain the services and product provided by Karpel Solutions. The Prosecutor’s office has included a budget request for these fees in FY 23-24 budget and again for the FY 24-25 budget as part of the annual budget process. These fees cover May 2024 through April 2025. $21,441 will be charged to 1010-296.01-801.004 for FYE 2024 costs for May through September and $29,609 will be charged to 1010-000.00-123.000 Prepaid Expenses for FYE 2025 costs for October through April and will be expensed to account 1010-296.01-801.004 in FYE 2025.
Our previous system provided by the Prosecuting Attorney’s Association of Michigan was billed in a different manner- part as service contracts and part as memberships. Karpel lumps it all together and it is carried in our Service Contracts line item.

LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Office of the Prosecuting Attorney to authorize making the annual payment to Karpel Solutions for the cost of the office’s records/document management system, Prosecutor by Karpel, in a total amount of $51,050.00, with one payment of $29,609.00 for FY 24-25 to be paid from account 1010-000.00-123.000 (prepaid expenses) and one payment of $21,441.00 for FY 23-24 to be paid from account 1010-296.01-801.004, is approved (a copy of the memorandum request and supporting documentation being on file with the official records of the July 17, 2024 meeting of the Governmental Operations Committee of this Board).
