BOARD ACTION REQUESTED:
Approval of a purchase order to update one server, not to exceed $16,500
BACKGROUND:
The Information Technology Department is responsible for maintaining the County’s server infrastructure, which supports critical applications, data storage, network services, and daily operations across County departments. As server equipment ages, it becomes more difficult and costly to maintain and may no longer support current performance, security, and reliability requirements.
DISCUSSION:
The Information Technology Department is requesting approval to purchase one piece of server equipment as part of its planned equipment refresh process. This purchase will allow the department to begin replacing aging server infrastructure, improve system reliability and performance, and reduce the risk of service disruptions or equipment failure. Updating the equipment in phases will also help County manage future replacement needs and costs more effectively.
IMPACT ON HUMAN RESOURCES:
There is no impact on Human Resources.
IMPACT ON BUDGET:
Vendor spend will exceed $30,000 with this purchase. This is a budgeted expense to be paid from the current fiscal year, 1010-228.01-978.005, not to exceed $16,500. Freight charges are TBD until actual shipping takes place. Comparable equipment is over $20,000 via SHI under OMNIA Partners IT Solutions, Products & Services cooperative agreement.

This purchase supports Long-Term Financial Stability by proactively replacing aging equipment, reducing the risk of costly emergency repairs and downtime, and supporting a planned and manageable server replacement cycle.

LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Chief Information Officer to authorize an expenditure, in the form of a purchase order to Curvature, as part of ongoing efforts of IT’s refresh schedule for our server equipment, at a total cost not to exceed $16,500.00 to be paid from account 1010-228.01-978.005, is approved (a copy of the memorandum request and supporting documents being on file with the official records of the September 16, 2026 meeting of the Public Works Committee of this Board).
