BOARD ACTION REQUESTED:
Approve the purchase of headsets for the upcoming migration to RingCentral and virtual phones from Merritt Communications (Headset Advisor).
BACKGROUND:
Genesee County will soon move to a new cloud-based phone system. Many people will be using their computer as a virtual phone and some others will be having their desktop phones replaced. These headphones are planned for use with the new system.
DISCUSSION:
IT surveyed all departments and found a need for 800 mono headphones and 200 stereo phones Yealink model WH62 to accommodate our migration to RingCentral. A formal RFP was conducted, and Merritt Communications (Headset Advisor) was chosen.

The cost will be $ 112,984 for 1,000 headsets. This purchase is ARPA funded using account 1010-640.02-899.040.

This initiative conforms with Genesee County’s goal of Long-Term Financial Stability by reducing costs and reducing administrative overhead. It also fosters a more Inclusive and Collaborative Culture by giving all employees access to tools that allow for robust communications.

TO THE HONORABLE CHAIRPERSON AND MEMBERS OF THE GENESEE COUNTY BOARD OF COMMISSIONERS, GENESEE COUNTY, MICHIGAN
LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Chief Information Officer to authorize the purchase of 800 Yealink WH62 Mono and 200 Yealink WH62 Stereo headsets from Merritt Communications (Headset Advisor), at a total cost not to exceed $112,984.00, said purchase to be funded from American Rescue Plan Act (ARPA) account 1010-640.02-899.040, is approved (a copy of the memorandum request and supporting documents being on file with the official records of the September 11, 2024 meeting of the Finance Committee of this Board), and the Chairperson of this Board is authorized to execute any necessary contract documents on behalf of Genesee County.
