BOARD ACTION REQUESTED:
Approval of a request to purchase IT Equipment refresh order with Dell, Inc.

BACKGROUND:
This equipment refresh is requested by IT for; New Hires, Break/Fix, and Windows 11 replacements. 15 of these Laptops, along with the wireless keyboards and mice, will be for the Training Room at the Tower.

DISCUSSION:
This is part of our 5-year life-cycle process and is crucial due to the announced end-of-life of Windows 10 in October and necessary upgrade to Windows 11. Windows 11 has higher requirements for workstations and some of our existing systems will need these newer systems for accommodation. The order consists of 2 desktops, 95 laptops, 30 docks, 15 Wireless Keyboards and Mice.

IMPACT ON HUMAN RESOURCES:
None

IMPACT ON BUDGET:
The total cost of this purchase will be $111,422.50 to be paid from account: 1010-228.01-978.006. This is a budgeted expense. Dell is a member of the MHEC-04152022 Master Agreement between Midwestern Higher Education Commission and Dell Marketing; Effective 4/15/22-6/30/25 contract code: C000000979569. 

IMPACT ON FACILITIES:
None

IMPACT ON TECHNOLOGY:
This will provide Genesee County users with the latest standard technology, while also replacing any Windows 10 computers that are currently in use.

CONFORMITY TO COUNTY PRIORITIES:
This purchase contributes to our Long-Term Financial Stability by ensuring all staff have access to properly functioning technology.  It contributes to policies being consistently followed and addresses legacy costs (technology refresh/lifecycle) with a plan that values people while creating savings.

TO THE HONORABLE CHAIRPERSON AND MEMBERS OF THE GENESEE COUNTY BOARD OF COMMISSIONERS, GENESEE COUNTY, MICHIGAN

LADIES AND GENTLEMEN:

                     BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Information Technology Department to authorize an expenditure, in the form of a purchase order, to Dell, Inc. for the purchase of two desktop computers, 95 laptop computers, 30 docking stations, and 15 wireless keyboards and Mice, at a total cost not to exceed $111,422.50 to be paid from account 1010-228.01-978.006, is approved (a copy of the memorandum request and supporting documents being on file with the official records of the March 5, 2025 meeting of the Finance Committee of this Board).
