BOARD ACTION REQUESTED:
Approve request to extend the janitorial contract month to month basis with Scioto Services.
BACKGROUND:
On April 19th, 2017, resolution #17-169 was approved to enter into a contract with Scioto Services for janitorial services for various County facilities.
DISCUSSION:
With our current and anticipated future consolidations, we recommend maintaining our current vendor on a month-by-month basis lasting no longer than December 2024. With this approval, it will allow the county to accurately identify the size and scope of services to create an advertisement for an RFP based on what our new needs will be. Scioto Services has committed to working with the county to adjust services as required during our efforts to consolidate and committed to no cost increases. If the request is approved, said approval will serve as authorization for Chairperson of the Board of Commissioners to sign an extension with Scioto Servies on behalf of Genesee County.

This will meet our healthy, safe, and financial stability priorities. By continuing to provide services to keep areas clean and healthy for workers without interruptions and by allowing Purchasing to put out a more accurate RFP request for the county’s needs and changes in the upcoming year.

TO THE HONORABLE CHAIRPERSON AND MEMBERS OF THE GENESEE COUNTY BOARD OF COMMISSIONERS, GENESEE COUNTY, MICHIGAN
LADIES AND GENTLEMEN:
BE IT RESOLVED, by this Board of County Commissioners of Genesee County, Michigan, that the request by the Facilities and Operations Director to authorize amending the Janitorial Services Contract between Genesee County and Scioto Services, LLC, to provide janitorial services at the Administration Building, County Courthouse, McCree Building, County Jail, County Animal Control, Burton Health Clinic, County Parks Offices, and other County buildings as necessary, said amendment being necessary to extend the contract on a month-to-month basis commencing October 1, 2023, but not extending beyond December 31, 2024, at a total cost not to exceed $754,800.00 to be invoiced at a monthly cost not to exceed $50,320.00 each month, to be funded as follows:
• 1010-265.00-802.000- Janitorial Services/Admin/Courthouse/ETC. $442,787.40;
• 1010-267.00.802.000- Janitorial Services McCree Building $205,632.30;
• 1010-309.00-802.000- Janitorial Services Jail $30,692.70;
• 2130-430.00-802.000- Janitorial Services Animal Control $15,817.35;
• 2211-614.00-802.000- Janitorial Services for Burton Health Clinic $45,946.35; and

Janitorial Services for the Parks, Nature Center, and Crossroads $13,923.90
is approved (a copy of the memorandum request, contact amendment, and supporting documents being on file with the official records of the March 20, 2024 meeting of the Finance Committee of this Board), and the Chairperson of this Board is authorized to execute amended contract on behalf of Genesee County.
