RE: Approval of a purchase order to Loomis Armored LLC, in the amount of $35,000.00, for FY2026/2027 for armored car services

recommendation
BOARD ACTION REQUESTED:
Approval of a purchase order with Loomis Armored LLC to perform armored car services for the Treasurer’s office in the amount of $35,000 for FY 2026/2027.
BACKGROUND:
Genesee County is currently working under a 2004 contract with Loomis Armored LLC to provide armored car services to the Treasurer’s office to pick up daily deposits and transport them to the bank. The Treasurer’s office worked with the purchase department several years ago to issue an RFP for bids for these services. The bids received at the time were substantially higher than the cost we are incurring under the 2004 contract. The largest increase in the new bids was due to the coverage for deposits of $250,000 or more. Our current contract does not allow for this charge but still grants us the insurance.
DISCUSSION:
Although we are still working under a 2004 contract, the monthly service fee does increase yearly. We also see fluctuations monthly for fuel and wage fee. The Treasurer’s office has explored alternative options but will not recognize any cost savings. The current monthly invoice is around $2455 but the proposed purchase order amount would cover a monthly fee of $2900.
IMPACT ON HUMAN RESOURCES:
There is no impact on Human Resources.
IMPACT ON BUDGET:
The armored car services were included in the adopted FY2026/2027 budget and will be paid from line 1010-253.00-801.029.
IMPACT ON FACILITIES:
There is no impact to facilities.
IMPACT ON TECHNOLOGY:
There is no impact on technology.
CONFORMITY TO COUNTY PRIORITIES:
By using an armored car services to deposit county funds ensures deposits are safely and securely transported to the bank, thus meeting the long-term financial stability of the county.
