Approval of 5-year agreement with annual renewals between Genesee County and i3 Verticals, LLC (i3-ImageSoft)
BACKGROUND:
OnBase is the document imaging and workflow system that is a critical tool that departments rely on for daily operations. It is used across many County departments, including Payroll, Friend of the Court, all Courts (67th and Circuit), Human Resources, among others.
DISCUSSION:
The Genesee County Information Technology Department recommends awarding the RFP #26-500 to i3 Verticals, LLC, the sole bidder, for OnBase licensing and services under a five-year agreement, renewed annually. The five-year term provides the County with the most favorable pricing and helps maintain consistent costs throughout the agreement. OnBase serves as the County's enterprise content management system and supports automated workflows, secure document storage, records retrieval, retention schedules, audit trails, and role-based access to sensitive information. Renewing the licensing and services will help maintain uninterrupted access, vendor support, system upgrades, and security patches. Failure to renew could disrupt departmental workflows, limit access to records, and create potential compliance and security risks.
IMPACT ON HUMAN RESOURCES:
There is no immediate impact on Human Resources. However, failing to renew Onbase services would disrupt the department's ability to complete daily operations.
IMPACT ON BUDGET:
