BOARD ACTION REQUESTED:
Approval to add additional Microsoft licenses through Crayon Software Experts LLC at a cost not to exceed $7,239.60
BACKGROUND:
Crayon Software Experts LLC were the lowest bidder under RFP 25-463 beginning March 1, 2026, to provide the Microsoft licenses, this was a 3-year agreement.
DISCUSSION:
The request is to add 20 additional Microsoft licenses and 1 Power Automate Premium license to the County's existing Microsoft agreement. As departments add positions, additional licenses are needed to ensure staff have access to the required Microsoft applications and services. Adding these licenses will help maintain continuity of operations and support employees with the tools needed to perform their daily work.
IMPACT ON HUMAN RESOURCES:
There is no impact on Human Resources.
IMPACT ON BUDGET:
The cost to add additional licenses is a total not to exceed $7,239.60. The costs are pro-rated to align with our main subscription ending on February 28, 2027. Using July 27, 2026 as a starting date and to be paid out of the following accounts - 1010-228.01-933.001 - $2,201.91 and pre-paid account 1010-000.00-123.000 - $5,037.69.

CONFORMITY TO COUNTY PRIORITIES:
The request conforms to the County priority of Long-Term Stability by entering into a multi-year agreement that provides pricing stability and predictable annual costs.
