BOARD ACTION REQUESTED:
Approval to renew the Canto Software subscription via SHI International Corporation; not to exceed $22,050.00
BACKGROUND:
The Canto software has been an essential tool for managing digital assets since its adoption. It serves as a centralized repository for photos, videos, documents, and other creative files, allowing staff to store, organized, and access materials quickly and securely. The system's tagging, search, and version control features have improved efficiency, reduced duplicated efforts, and ensured that approved, up-to-date materials are used in projects.
DISCUSSION:
Renewing the Canto software will ensure our team continues to benefit from a centralized, secure, and efficient digital asset management system. Canto has streamlined the way we store, organize, and retrieve images, videos, and other media, reducing search times and eliminating duplication of work. The platform also supports version control and easy sharing, helping us maintain brand consistency and collaborating more effectively across departments. Discontinuing the service could result in workflow disruptions, longer project turnaround times, and increased risk of file mismanagement. Continued use of Canto aligns with our commitment to operational efficiency and supports the department's ability to meet deadlines and deliver high-quality work.
